Broad Overview

The Medical Operations Coordinator – International is accountable for supporting the International Medical Department with their daily activities for the therapy areas and drugs/ products covered by the team.

The role ensures smooth execution of medical processes, including document management, contract coordination, meeting logistics, budget tracking, and cross-functional collaboration. This position plays a key role in maintaining operational excellence and alignment with internal policies, industry standards, and ethical guidelines across global markets (ROW – Rest of World).

 

As Medical Operations Coordinator – International, your responsibilities will include:

Operational & Administrative Support

  • Assist in the execution of medical operational tasks across International and ROW regions.
  • Support the management and organisation of shared drives and documentation repositories for medical materials, including promotional and non-promotional assets in coordination with third parties.
  • Management of approval process for promotional and non-promotional documents as needed.
  • Coordinate the approval process for promotional and scientific content in line with compliance frameworks.

Documentation & Systems Management

  • Oversee electronic storage systems and shared spaces, ensuring timely updates and structured access to key documents (e.g., product presentations, meeting minutes, SOPs).
  • Track and organise documentation related to medical sponsorships, educational grants, and research support.

Budget & Procurement Tracking

  • Create and appropriately follow up purchase orders and invoice payments with the Finance department and tracking on required spreadsheets as needed.
  • Maintain up-to-date budget tracking spreadsheets and circulate monthly budget summaries to medical team members.
  • Support team compliance with procurement processes and vendor engagements.

Stakeholder Coordination & Meeting Support

  • Organise international medical meetings, including scheduling, agenda preparation, presentation consolidation, minute generation and post-meeting minute circulation.
  • Coordinate and manage internal and external committee meetings related to grants, research grants, ancillary, medical sponsorships, and educational programs.
  • Act as a liaison between the medical team and other departments (Legal, Compliance, Finance, Regulatory).

 

Contracts & Compliance

  • Support generation of contracts as requested by medical team members in collaboration with Legal and third-party vendors.
  • Ensure all interactions comply with company policies, ethical standards, and applicable regulations (e.g., ABPI, EFPIA, GxP).

Ad Hoc & Cross-Functional Support

  • Any additional coordination/administrative tasks as required to support the medical functions including supporting ad hoc requests for assistance with operations that may be global medical in scope.
  • Train team members where necessary on existing processes.
  • Ensuring that all interactions and engagements are carried out with the highest ethical and professional standards and that all work is accomplished with quality and in accordance with SERB values
  • Carry out other reasonable tasks as required by the Line Manager.

To be successful in this role, you should demonstrate:

  • University degree in a health-related field and/or a minimum of one (1) years’ experience in similar role ideally in pharma, Biotechnology or CRO is preferable but not essential.
  • Proficient in Microsoft Office (Excel, Word, PowerPoint), SharePoint, and project tracking tools. Familiarity with financial systems and contract platforms is a plus.
  • Strong attention to detail, organisational skills, and ability to manage multiple priorities.
  • Clear communicator with a collaborative mindset.
  • Independent and self-motivated
  • Ability to prioritise and effectively manage multiple tasks
