Broad Function
As the first point of contact for all visitors and telephone enquiries – the candidates will need to provide a professional front of house service for the Wales site as well as the coordination of all communal areas noted in the responsibilities section below. The role will also include general administration support for site, as required.
Principle Responsibilities
Reception:
1. Receive all incoming calls through the main switchboard; transfer calls and ensure that accurate telephone messages are taken and distributed whilst ensuring that all queries are dealt with effectively and in a timely manner. Check voicemail on arrival each morning and distribute messages accordingly and put phone to night service at the end of each day.
2. Host all contractors and visitors of all levels of seniority, in a professional manner, ensure Security and EHS procedures are adhered to, issue visitors’ badges, arrange for visitors to be collected for meetings and organise refreshments as appropriate. Monitor the security system for incoming visitors and operate the security gates as and when necessary. Ensure the Visitors’ Book is completed when visitors / contractors arrive and when they leave. Arrange any visitor refreshments and co-ordinate the daily sandwich order for employees.
3. Receive all incoming post and distribute as appropriate. Responsible for maintaining the reception fax machine and photocopier. Responsible for ensuring that all six photocopiers on site are stocked with paper and toners etc. and liaise with supplier when repairs and maintenance are required.
Facilities:
1. Coordinate the upkeep of the site communal areas, namely Canteen, Meeting Rooms, Reception, Photocopy room and Toilets and ensure these areas are kept clean and tidy and all literature is up to date and presented neatly.
2. Coordinate the smooth running of the Occ Health Clinics on site, as per the schedule.
3. Ensure adequate canteen stock levels are maintained in the coffee & vending machines and remain within budget. Send Vending Machine readings on the last day of each month to the Accounts team.
Education and Experience
- Previous experience in a Facilities and or Front of House role
- Proven administrative experience and advanced knowledge of Microsoft Outlook Calendars and Microsoft Office package (Word, Excel, PowerPoint) is essential.
- IOSH Managing Safely Qualification (desirable)
- Minimum education to GCSE standard or equivalent Skills and Attributes.
- Maintain a professional manner at all times.
- A proactive and well organised individual with an attention to detail, and a flexible approach to work.
- Able to prioritise, provide feedback on progress and execute tasks in a high-pressured environment.
- Strong communication and interpersonal skills are essential.
- Confident and with an ability to work with staff at all levels of seniority.
- Diplomatic, even tempered, committed and conscientious and trustworthy.
- Presentable, enthusiastic, helpful, motivated, reliable with a “can do” attitude.
- Maintain confidentiality at all times.
